Job Title: Executive Assistant to CEO

Location: On-site | Live Oak, TX
Schedule: Monday–Friday | Availability as needed, including outside standard hours

Overview:
We are seeking a highly professional, detail-oriented Executive Assistant to serve as a trusted partner to our CEO. This role requires exceptional communication skills, discretion, and the ability to manage complex priorities in a fast-paced environment. As the face of the executive office to shareholders, board members, and key stakeholders, the Executive Assistant will play a pivotal role in maintaining operational excellence and executive readiness.

Key Responsibilities:

  • Stakeholder Engagement: Represent the CEO with professionalism and poise in communications with shareholders, board members, and external partners.

  • Travel Coordination: Manage domestic and international travel, including itineraries, accommodations, and contingency planning.

  • Contract Review: Assist with reviewing contracts and agreements, flagging key terms, and coordinating with legal counsel as necessary.

  • Report Creation: Draft and format formal reports, executive summaries, and presentations for internal and external audiences.

  • Communication Excellence: Write and edit high-impact correspondence, announcements, and briefings with clarity and polish.

  • Calendar & Meeting Management: Maintain and prioritize the CEO’s schedule, ensuring seamless meeting logistics.

  • Office Presence: Provide on-site support Monday through Friday, with flexibility to handle urgent needs outside of standard hours.

  • Confidentiality & Discretion: Handle sensitive information with integrity and professionalism at all times.

Qualifications:

  • Proven experience supporting C-suite executives in a fast-paced, high-stakes environment

  • Exceptional writing, editing, and verbal communication skills

  • Strong organizational and time-management abilities

  • Familiarity with contract language and business documentation

  • Proficiency in Microsoft Office Suite and executive communication tools

  • Professional demeanor with the ability to manage relationships with tact and diplomacy
